SENSIBLE WEBCONTROL

Q. What is Sensible WebControl?
A. Sensible WebControl is a unique approach to Web site design and Web-based content management providing the most simple, cost-effective approach to managing your site and the content it contains. It’s very flexible, giving you instant browser-based access to virtually anything your Web site might need, including unlimited articles, FAQs, press releases, products, services and more. We deliver it to you tailored for your content. There’s no need to hire a separate developer, no messy integration, no programming hassle, and no huge, added expense. Best of all, content can be added and handled by the people who really create that content, even if they don’t have any technical or computer experience. If you can type, you can update your Web site and keep it looking professional.

Want to learn more about what Sensible WebControl can do for you? You can get a quick overview from the FAQs below. For in-depth information and a product tour, visit our Sensible WebControl Web site at http://www.SensibleWebControl.com.

Q. Do I really need Sensible WebControl?
A. Whether you have an existing site or need a site built from scratch, Sensible WebControl can save you time and money. Sensible WebControl can streamline the process of getting your important information onto your Web site, let you integrate your online and offline image more professionally, and make sure that your site really takes advantage of a Web site’s potential to engage and interact with your customers and potential customers. So do you really need Sensible WebControl? Consider the following:
  • If you pay a developer $100 to change your Web site, you will have paid for two months of Sensible WebControl (including hosting).
  • If you have a site that is stagnating because it is too expensive to keep up, you could update your content yourself through your Internet browser from anywhere, anytime.
  • If your editorial staff turns out content faster than your programmers can get it on your current Web site, Sensible WebControl will give your editors the ability to publish their content instantly without any technical knowledge or HTML coding.
  • If the site you have now looks less professional than your product literature, your company logo, or the image that you want to project, Sensible WebControl can maintain consistency, protect your branding, and enhance the image that customers and potential customers remember.

Need more reasons? Please ask us for a proposal.

Q. How Soon Can My Site Be Up and Running?
A. Our exclusive Sensible WebControl software automatically builds a site according to your specifications, so your site is available as soon as we press the “Launch” button. How soon your site is up and running will depend on how long it takes to decide what you want on your site, how you want your site to look, and how soon you can gather the content, images, and other material that you want your site to contain. Need to launch even faster? We can help you with every phase of content development, including content planning, writing, editing, photo selection and image processing. We can even load your initial content for you or re-purpose content that you have on your existing site or in your offline catalogs or business documents.
Q. Do I Have to Configure The Software?
A. Sensible WebControl is a licensed product hosted on our servers. We charge you an upfront development and configuration fee to set your site up precisely to meet your needs. After that, you simply add or change the content as you like. There’s no need to install anything and no need for a developer or programmer.
Q. Can Sensible WebControl Work With My Existing Site?
A. If you are happy with your current site’s design or “look and feel,” but want to increase its flexibility and cost-efficiency, we can probably fold your current design into your new Sensible WebControl solution. Our software is very flexible and can wrap inside most graphical formats. If for some reason, we can’t work within your current design, we can work with you to make minor modifications to preserve what we can. We can even help you import or convert the content on your existing site into Sensible WebControl.
Q. How Much Does Sensible WebControl Cost?
A. The cost of your custom Sensible WebControl Solution will depend on what you need on your site. Up-front costs can start from $600 for a basic solution including a custom graphic design, home page, company information, products or services areas, feedback forms, image upload, contact/customer management, and our built-in content management system. Complex sites can contain up to 40 or 50 different content types ranging from calendars to product catalogs, classified ads, many different kinds of news or articles, product tours, and much more; these are more expensive. But we can always deliver even a very large site with our build-in content management system for far less than the cost quoted by other developers for a comparably-sized site with fewer features. A typical informational site for a business will average about $1,500. A large site for a township or municipality could run up to $11,000 or so.
Q. Who Will Host My Sensible WebControl Web Site?
A. Because Sensible WebControl is a licensed product, we own and control the software that operates your site. We host your site directly on our servers.
Q. How Much Is the Monthly Hosting Fee?
A. Hosting for your Sensible WebControl solution starts at just $24.95 a month. This includes up to 2 gigabytes of data transfer and up to 50 megabytes of disk storage. If you need more storage or more data transfer for your site, we can affordably accommodate your needs.
Q. Do I Get My Own .Com Domain?
A. Whether you want a .com, .org, .edu or any other type of domain name, at an average cost of about $15 / year, there’s no excuse to use anything other than your own domain name for your Web site. If you don’t already own your own domain name, we’ll assist you in purchasing one. If you already own a domain name, we’ll request a transfer so that it points to your new Sensible WebControl site once your site is ready to launch.
Q. Do I Get My Own E-mail Account?
A. You get up to 15 email accounts as part of the monthly hosting fee. You completely control these accounts, so you can set them to forward to other email accounts, or use them as standard POP3 accounts. You can even browse, answer, and manage your email online through your Internet browser. Need more email accounts? We can add on an unlimited number.
Q. How Secure is My Sensible WebControl Solution?
A. The security of your information is obviously one of the most critical concerns you have. Our servers are protected behind firewalls and network intrusion systems, and users have to log on using an email address and matching password before they have access to add, change, or remove any information. Our multi-level authorization lets you control who has access, and what they have access to.
Q. Does Sensible WebControl Protect My Privacy?
A. We consider privacy so important that we provide a built-in privacy agreement with every Sensible WebControl site. You can change or add onto that policy as necessary to meet your specific needs to let your customers know exactly what you intend to do with the information that you collect from them. The policy that we release with your site is the same policy that we live by. We will keep your personally identifiable information confidential. We will never sell it or otherwise release it to someone else to make a profit.
Q. What Kind of Equipment Does Sensible WebControl Require?
A. Your site is hosted on our servers, so the only equipment you need is your own computer, browser, and Internet connection. At minimum, we recommend:
    • 28.8 Kbps modem speed
    • Internet Explorer 5.0
    • Windows 95, 98, NT, 2000, XP or current Macintosh operating system.

You’ll do better, of course, with a higher internet connection speed, but we have configured and maintained entire sites on regular dial up connections for testing purposes without any problem.
    .

Q. I’m Ready to Go. What’s the First Step?
A. PLANNING! The old proverb tells you to measure twice and cut once. We’ll help you decide what you need on your site, what your site should do for you, what your site should do for your visitors, and how best to organize all this to make it fun and easy to use. But don’t misunderstand - you’ll need to take time to make smart decisions and gather information. Before we begin planning, we’ll ask you to provide a copy of your logo and primary offline advertising initiatives plus a preliminary list of what you want on the site. We’ll also ask you for a list of at least three Web sites that all your decision makers like. We can then discuss what you do and don’t enjoy about these sites to help us understand what you are looking for and how we can best meet your needs.
Q. What If I’m Not Happy With My Sensible WebControl Web Site?
A. That won’t happen. And we say that not just because we take pride in our product and our work, but because it is our mission to provide 100% satisfaction. If you haven’t received every item contained in your site plan or if we haven’t fix any bug that you bring to our attention within 30 days after we launch your site, we will cheerfully refund every penny of your site design cost.

GENERAL WEB SITE SERVICES

Q. I'm considering a Web site for my business. How do I know if going online is worth the investment?
A. Almost every business needs to be online. Having a Web address on your business card, letterhead, or shopping bag lets your current and potential customers know that you are looking toward the future as well as considering their present needs.

A low up-front investment is one of the key enticements to going online. But what may seem like a bargain can backfire if your site doesn't really do something for you.

A Web site can answer questions when your business is not physically open, or alert your customers to special events and discount offers. It can support your current customers, or it can bring new customers to you and sell them your products 24 hours a day, 7 days a week -- without any help from you or your staff.

The key to a successful site is in the planning. Just like any business venture, you have to set achievable, realistic goals based on sound business principles and economics.

If you want to expand your business onto the Internet, or if you are considering starting up a new 'Net-based business, the structure and features of your Web site will dictate whether or not you succeed in pleasing the visitors who come to find you. And that, in turn, will dictate whether the site is worth the investment of your time and money.

During your design process, The Write Edge will give you all the information that you need to make sound decisions. If we don't believe that your business stands to gain by being on the 'Net, we will tell you so up front, or we will help you to find a way to make the 'Net work for you.

Our Resource Center provides you with a wide variety of business planning tools, including site feature selection criteria, customer targeting profiles, customer survey forms, technology assessment checklists, budget planning questionnaires, marketing and promotion checklists, and -- above all -- information about your options.

Before we ever begin coding your site, you will feel comfortable making whatever investment is called for. And when we are through, you can be assured that your site will really work on your behalf.

Q. Dave, my stock clerk, is a computer whiz. Can't I just have him do my site?
A. You probably wouldn't have Dave write your advertising copy or ask him to write your business plan. But a Web site is all these things and more.

A good site design -- as opposed to a bad one -- will combine marketing and promotional principles with sound business planning to achieve the right mix of customer appeal, functionality, and longevity. A great site will enhance your image and help your business.

But make no mistake; a bad site or indifferent site WILL do damage to your professional reputation.

Q. How do I pick the right developer?
A.

Finding the right development partner is a process of give and take. You need to be committed to making use of the opportunity to take stock of your business priorities. As you work with us, you will answer some serious questions about the audience that you want your site to reach, what you want your site to accomplish, and -- not least -- what you want your site to say about you. In that process, you will develop a set of guidelines that will define your site, your goals, and how you will measure success. This will also help you define the qualities that you need in your developer.

Our own site says a lot about us and how we do business. We invite you to browse. We have put in as much detail as possible to help you make decisions at your own leisure, but some can only be answered once we have looked at your project and discussed your needs. We're always happy to answer your questions.

Q. Once I hire you, then what?
A. Our Design section contains a comprehensive description of the process. When you decide that you want us to be involved in your site project, we begin the planning phase.

The information, forms, and checklists in our PowerSite Planning Toolbox make it easy for you to weigh your priorities and collect the information that you need. They also make it possible to convey the results to us in a logical manner.

Once we have the information from you, we prepare a recommendation summary that translates our analysis of your needs into goals and ideas. Depending on what you need us to do, and how many other developers you want us to team with on the project, we also prepare sketches, content plans, or site maps for your approval.

At The Write Edge, we handle your project systematically so that you feel informed and comfortable at every stage. And we use a tiered payment system based throughout the design process. Your payments are based on our achievement of performance milestones, so that you are never faced with unpleasant surprises.

Q. How do I pay?
A. We can work with you on payment options, and we have many pricing structures available to suit the needs of even the smallest business. Our main concern is to find a site that will work for you in the long-term.

Following the execution of a Memorandum of Engagement or contractual agreement, we ask you to pay a deposit equal to 25% of the estimated project cost for any given site phase. The MOE will set forth the deliverables that you will receive and the payment schedule.

Your first payment usually applies toward a planning or strategy fee, including the use of our planning forms, checklists, surveys, promotion, and maintenance information tools that help you define your site's goals, as well as our assessment of your market potential, competition, audience, purpose, navigation structure, image, tone, technology platforms, and maintenance reduction.

At the end of our planning phase, you will receive a written report setting out the goals and major considerations, as well as any other deliverables that we agreed upon. When you approve your project plans, we proceed with phase two, which generates initiates limited production and testing. Once testing is complete, we can agree on the final cost of your project, and move into full production as quickly as possible.

We accept checks, money orders, or cash as payment. In very rare cases, we consider performance or progress payments, or work out payments over time.

Q. Why do you charge a development or design fee?
A. Our development or design process is what sets us apart from most other production houses. When we help you build your Web site, we are helping you to build your business. That involves not only training and specialized skills, but research and analysis that we do exclusively for you -- which is ultimately more important than the HTML coding that creates your pages.

We provide a lot of free information on our site, and anyone is welcome to use that information to help themselves. To have us apply the techniques, information, and analysis to your individual business, whether or not we ultimately create your site, will save you money in monthly maintenance costs. It will also greatly increase the benefits that your site can bring to you.

Q. Do I have to know anything about the Internet or about computers?
A. Most of our clients prefer to devote their energies to growing their own businesses. As we proceed with your project, we explain everything you need to know in order to make the right decisions during your site development. We can even maintain your site once it is up and running. Or we can show you and your staff everything you need to know in order to maintain the site yourself.
Q. Is The Write Edge a Web Presence Provider -- can you "host" my site?
A. In some cases, yes. Our Sensible WebControl solutions are always hosted with us, but we specialize in design and communications technology for business, not in computer hardware. We work with a wide range of hosting partners who can provide the exact mix of technology, price, bandwidth, and service to suit your individual needs. Deciding who will host your new site is just one of the important decisions that we will help you to make as part of your site development.
Q. What about Internet access? Can my hosting company handle that too?
A. In some cases, yes. However, most of the time we prefer to recommend separate accounts for Web presence (hosting) and Web access (your dial-up connection). Bandwidth (the amount of data that can be transferred over a connection) is always finite. If a company is using bandwidth to let customers surf other people's Web sites, that can-and often does-have an impact on how much bandwidth is available for YOUR customers to visit YOUR Web site. If you need help finding an access provider, we'll help. But we make sure that you see the overall picture so that your results, both in access and site hosting, are as reliable and fast as possible.

SITE MAINTENANCE

Q. What about site maintenance? How do I calculate my costs?
A. Taking maintenance and promotion issues into consideration is part of a thorough site design. At The Write Edge, we build-in the opportunities for cost reduction and promotion opportunity from the ground up.

Using server side scripting and active server pages, among other technologies, we can automate many of the routine tasks that you might otherwise need to pay a staff member or maintenance firm to perform on a weekly or monthly basis. Of course, there is a trade-off for this; the initial cost of your site will be higher when you request more advanced features and greater interactivity. Still, the long-term savings can be significant, and we provide these alternatives to you during our design recommendation.

You will know exactly what the cost of maintaining the site will be at the time that we submit your site plans for your approval. That way, you will never end up with long-term hidden costs, or with a site that degenerates from lack of maintenance.

WEB SITE PROMOTION

Q. Do I need my own domain name?
A. Your unique domain name (yourname.com) identifies your Web address to your customers and potential customers and allows them to find you on the Internet. The cost for a domain name is currently less than $70 for 2 years. At that price, we strongly recommend that you take advantage of this feature.   If you don't use your business name as your address, you can be assured that within the next few years, someone else will do so.

Q. What kind of a domain name can I pick?
A. Whatever you like, so long as it isn't already taken. The only valid characters for a domain name are letters, numbers, and hyphens. Special characters like the underscore or exclamation mark are not permitted. Domain names cannot contain spaces or begin or end with a hyphen. A domain name can be up to 26 characters long including the 4 characters used to identify the Top Level Domain .net .com .org .edu. Unfortunately, many of the ".com" domains are already allocated. Internic, the company who handles domain registration in the U.S., has opened up additional ".net" addresses.

At The Write Edge, we will work with you to find out whether your company name is available. If it is taken, we will help you to weigh the pros and cons of various alternatives. In some cases, we can even help you negotiate to purchase a particular domain name from someone who is using it.

Q. How do I register a domain name?
A. Once you have reached a decision on which domain name you want to have, we will register it for you with Internic. Internic will bill you directly, and Internic fees are separate from our site design prices. We do not charge you for this service, although some Web presence providers may charge you a processing fee for providing the technical contact information that Internic will require.

Q. How will people know that my business is on the Web?
A. All of our designs contain a degree of search engine optimization, and we will submit the main page -- at a minimum -- to the 20 top search engines as part of our service. Selecting the keywords and concepts that define your business is the key to successful search engine positioning. We do that at the very beginning of the design process so that we make sure to capitalize on every opportunity to use those keywords.

We also show you how to integrate your new site into your current marketing effort, and how to use your site design and grand opening as communication opportunities that will have an immediate impact on customer loyalty. We can help you to find the places on the Internet where your advertising dollars will genuinely bring buyers to your site, and show you how to take advantage of free promotional opportunities on the Web to increase your site traffic and generate sales.

SITE CONTENT

Q. What prices and features do your Web sites offer?
A. Our Rates section details our pricing guidelines and provides a number of "package" site options to use for comparison purposes. However we treat every project individually. Even the package sites that we offer are often modified to change the number of pages, the amount of interactivity, or the content structure.

The one feature that our Web sites have in common is their marketing focus. Our sites are designed to help you do business on the Internet. Most, 94% by some estimates, of all business sites on the Web are currently losing money. Our sites are patterned on the other 6%.

Q. Do you handle site automation, active server pages, database integration, or shopping carts?
A. Yes, we can provide you with custom solutions through Active Server Pages, CGI, Perl, Java, VBScript, or JavaScript (JScript) to handle virtually any function that you need your site or server to perform. Wherever possible, we will try to find prepackaged solutions that will work for you more cost-effectively through technology partners or commercial software sources. But the best solution will depend on your needs and budget.

Q. Can I use my own text, graphics, and multimedia files?
A. Yes, we can adapt your existing printed marketing or technical material to suit the special needs and reading habits of a Web audience. Most material written for printed media (articles, brochures, newsletters, manuals, or annual reports, etc.) is too long and needs to be restructured. But it is helpful for us to see and use materials you do have to better understand your business, goals, products, and services. In some cases, the material will work perfectly. In other cases, we can suggest improvements. Or you may wish to have us perform a quick edit to help target your copy for a Web-oriented audience. In some cases, you may find that it is more cost-effective to have us simply rewrite the copy for you based on the ideas in your existing, published material.

We can also optimize your graphics for use on the Web. Or we can generate all the content for you from scratch.

If you already have a Web site, we will salvage as much as possible to keep your costs down. But we will never sacrifice the overall integrity of your site. When you hire us, we will help you to make the right decisions based on your needs and situation. We understand that you expect professional results, and we will make sure you get them.

Q. How does writing for the World Wide Web differ from other kinds of writing?
A. Web visitors are looking for information. But there are three different kinds of visitors.
Surfers:
Surfers skim over the top pages of a Web site looking for hints, tips, and secrets-nuggets of information-that closely match their needs or catch their attention. They require instant, at-a-glance style information delivery.
Casual readers:
Casual readers want solid information delivered in an entertaining way. They are looking for information value-the USA Today style of information delivery. They will skim longer sections of text, but absorb mostly the first and last sentences of a paragraph, with their focus directed at the first and last few paragraphs of the page.
Information Junkies:
They want EVERYTHING. Every detail. Every nuance. Every bit of data that you can give them. They are sponges, and nothing that you tell them is ever enough because they print everything, even if they don't read it right away. They always have more questions. AND, if you don’ t provide the answers on your site, they will drain your resources by phoning or emailing these questions to your sales staff, your support staff, or your management team.

Q. Do I need three different Web sites to suit the different levels of Web visitors?
A. No. That’s part of the advantage of using the Web to provide your business presence!

A well-designed Web site will use headlines and "At a Glance" type sections for the surfers, with your top pages providing an overview or synopsis of your information adequate to deliver what the majority of users want.

But you can easily and inexpensively provide greater depth for information junkies.

As you browse our site, you will see all three levels of information, as well as a variety of the techniques that we use to enhance comprehension and information delivery. In other words - -to SELL -- our message and information. We can help your site provide the same levels.

WORKING TOGETHER

Q. Who will do the actual work on my project?
A. The Write Edge uses a combination of in-house staff and highly qualified freelance writers, programmers, designers, graphic artists, and editors. Coordination, planning, and development for all projects is done in-house, and a team of staff and freelance associates is assembled to best fill the demands of the client and the work to be performed. If a freelance associate will do your work, the completed project is thoroughly checked by a senior staff member for quality control before being delivered to you.

Q. What level of qualification do you look for in an associate?
A. Our associates are all fully qualified in their fields, and we require that they have both the education and the experience that is standard for industry professionals in their field. Before coming to work with us, they must pass a series of standard tests or submit samples of their work. If they meet our high standards, they proceed to work on dead copy, or non-client level projects, and then slowly begin working on simple projects under close guidance of a staff member or editor. As they gain in experience, and we gain confidence in their ability, they are given increasingly complex projects.

Q. How does The Write Edge select who will work on my project?
A. That’s the advantage of using freelance associates. The associates in our global database are handpicked to provide us with experts from widely varied backgrounds. We select the right mixture of staff and freelance personnel and match their skills and experience to the unique needs of your business and your project.

QUALITY CONTROL

Q. What level of quality control do I get when using The Write Edge?
A. Associates work closely with our staff coordinators to ensure that your project is progressing through milestones that we have worked out with you in advance. You are informed of progress periodically, and associates follow a separate schedule during which they submit work to our coordinators during the course of the project. We bring any questions or concerns to you immediately so that work can resume without any delays or unpleasant surprises along the way. All work is quality checked again by our staff coordinators before being delivered to you, and any problems are remedied timely so that you receive your completed project on time and on budget.

Q. How big is your office?
A. Our physical office is small, because we are a virtual office connected by computers and the Internet. We use teleconferencing, electronic whiteboarding, and advanced telecommunications techniques to strategize, brainstorm, coordinate, and pass information back and forth between staff members and our 1700+ associates.

Q. How important is location in working with a designer, writer, or editor?
A. There are still people who feel more comfortable doing things face to face, but 98% of our clients tell us that they are actually happier when they don't have to take the time away from their own work to prepare for in person meetings. If they need to bring us to a board meeting or a company presentation, we're as close as the telephone or computer screen.

The telecommunications capabilities of our virtual office let us accomplish planning, information transfer, and actual work from any distance or location. This cuts down on our overhead and increases our productivity. We can then use our freelance associates to supplement and offset any "localization" issues that might arise, or outsource portion of a project to a contractor nearer to your physical location. We are also happy to work as one portion of the site development team on larger projects, as we did with the Petopia.com site, which was designed by the San Francisco office of the highly-rated Razorfish design firm.

If we cannot handle a job, we will tell you so. But thus far, our clients have been very satisfied, and that's what really counts.
